70+ Users Migrated to Microsoft 365 Over a Weekend — Zero Data Loss, 40% Cost Savings
A manufacturing company was stuck on aging on-premise servers that crashed regularly. Email outages were costing them deals. Their old Exchange server was end-of-life. We moved them to the cloud without losing a single email.

Client Background
A manufacturing company based in Nani Chirai, Gujarat, with over 70 concurrent users. They relied heavily on email and document collaboration for daily operations — purchase orders, vendor communications, design files, and financial reporting. Everything ran on physical servers in a small server room that doubled as a storage closet.
The Problem
Their infrastructure was falling apart:
The Exchange server was 7 years old and had crashed twice in the past quarter. Each time, email was down for 6-8 hours
Hardware maintenance costs were eating their IT budget — UPS replacements, hard drive failures, cooling issues
No remote access. When COVID hit, people literally couldn't work from home
File sharing was via USB drives and email attachments. Version control was non-existent
The managing director said: "We've lost deals because our email was down when a client sent a time-sensitive PO"
What We Did
We planned the migration carefully and executed it over a long weekend so Monday morning felt seamless:
Set up Azure AD Connect to sync their existing Active Directory identities with Azure AD — users kept their same usernames and passwords (SSO from day one)
Migrated 70+ mailboxes from the old Exchange server to Exchange Online in stages. The largest mailboxes went first to validate the process, then we batched the rest
Moved shared files and departmental folders to SharePoint Online. Set up proper permissions so each team only sees what they need
Enforced MFA (multi-factor authentication) across the board and configured DLP policies to prevent sensitive manufacturing designs from being emailed outside the company
Trained all 70+ users on Teams, OneDrive, and the new Outlook — in-person sessions, not just a manual nobody reads
Technologies Used
Microsoft 365 Business Premium
Azure AD Connect with Single Sign-On
Exchange Online with archive mailboxes
SharePoint Online for file collaboration
Multi-Factor Authentication (MFA)
Data Loss Prevention (DLP) policies
Results
Zero data loss during migration — every email, every attachment, every calendar entry made it across
40% reduction in IT infrastructure costs (no more server hardware, cooling, UPS, maintenance contracts)
99.9% financially-backed uptime from Microsoft — they haven't had a single email outage since
Remote work became possible overnight — Teams and OneDrive meant people could work from anywhere
The old server room is now actually being used as a proper storage room
Client Outcome
"They migrated our entire on-premise infrastructure to Microsoft 365 without a single minute of downtime or data loss. 70+ users transitioned seamlessly. The cost savings alone justified the project in 3 months. And honestly, the biggest win is reliability — our email just works now, every single day." They've since added Intune device management and are planning Azure virtual desktops for their design team.
